The rules behind a legal HGV working day

The logic comes straight from Regulation 561, retained in UK law and enforced by the DVSA. Most HGVs over 3.5 tonnes fall under it. The key pressure point is the driving break, after no more than 4 hours 30 minutes of driving, a break of at least 45 minutes is due, which can be taken as 15 minutes followed by 30 minutes. Daily driving is 9 hours, with the option to go to 10 hours no more than twice in a week.

Daily rest is 11 hours as the regular position, with the option to reduce to 9 hours up to three times between weekly rests. There is also a split option of 3 hours then 9 hours. Because that rest has to be completed within 24 hours of the end of the last rest, the working day is capped in practice, 13 hours with a regular rest, or up to 15 hours on a reduced rest day.

A worked example: one real shift through the calculator

Start with the job as it is booked, not the version everyone hopes will happen. Take a driver booked to start at 06:00 with 9 hours of driving needed and 2 hours of other work. Driving runs to 11:30, which is the 4 hours 30 minutes limit, so the 45 minute break lands there and driving resumes at 12:15. The quality of the answer depends on the quality of the inputs. Be honest about yard time, loading delays and checks. If a driver starts at the depot before moving the vehicle, that time belongs in other work. The same applies at the delivery point. Do not trim the figure to make the job fit. Build the plan around the work that is genuinely expected, then leave operational judgement for traffic, queues and anything else that changes on the day.

Reading the plan and making the call

The result shows where the required driving break falls, the latest finish, the daily rest due and the earliest legal start tomorrow. Warnings matter. If the plan crosses a limit, treat that as a planning problem to solve before the vehicle leaves, rather than a message to ignore once the job is under way.

Look at the whole sequence, not just today's delivery time. A late finish can push tomorrow's legal start back, which may affect the next collection.
