This privacy policy explains how Contract Transport Services ('we', 'us', 'our') collects, uses and protects your personal data when you use our website and our transport and distribution matching service. We are the data controller for the personal data described here. We handle personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Contract Transport Services is a trading name of Box 4 Digital Group Ltd, registered in England and Wales under company number 11032071. Our registered address is Suite 114 Business First, Davyfield Road, Blackburn, Lancashire, BB1 2QY.
What personal data we collect
We collect personal data that you give us and data collected automatically when you use the site:
- Transport briefs and enquiries. When you ask us to match you with a transport or distribution provider, or list your company, we collect your name, business name, email address, phone number, location and the details of your requirement or your company.
- Account and provider data. If you register as a provider, we collect the business, contact, licensing and service information needed to operate your listing and match you to buyers.
- Messages. The content of emails, forms and messages you send us.
- Technical data. IP address, browser type, device information and pages viewed, collected through cookies and similar technologies. See our Cookie Policy.
How and why we use your data
We use your personal data on the following lawful bases:
- To provide our service (contract / legitimate interests). To handle your brief or enquiry, to introduce you to relevant checked providers, to operate provider listings and to respond to you.
- To communicate with you (legitimate interests / consent). To send service messages about your enquiry, and, where you have agreed, occasional updates. You can opt out of marketing at any time.
- To run and improve the site (legitimate interests). To keep the site secure, understand how it is used and improve it.
- To meet legal obligations. Where the law requires us to keep records or respond to lawful requests.
Sharing your data
We share your requirement with transport and distribution providers so they can respond to you. We only share what is needed for a provider to understand and quote for your requirement. We do not sell your personal data.
We use trusted service providers who process data on our behalf under contract, including:
- Brevo (Sendinblue), which we use to send transactional and service emails on our behalf as our email processor.
- Website hosting and analytics providers, including Google Analytics for aggregated usage statistics.
We may also disclose data where we are required to do so by law, or to establish, exercise or defend legal claims.
How long we keep your data
We keep personal data only for as long as we need it for the purposes above. Enquiry and brief data is normally kept for up to 24 months after your last contact with us, unless we need to keep it longer to meet a legal or accounting obligation. Provider account data is kept for as long as the account is active and for a reasonable period afterwards.
Your rights
Under UK data protection law you have the right to: access the personal data we hold about you; ask us to correct inaccurate data; ask us to erase data; restrict or object to our processing; request data portability; and withdraw consent where we rely on it. To exercise any of these rights, contact us using the details below. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk, though we would welcome the chance to resolve any concern first.
Security
We use appropriate technical and organisational measures to protect your personal data against loss, misuse and unauthorised access. No transmission over the internet can be guaranteed as completely secure, but we take reasonable steps to keep your data safe.
